GPS Rostering and Clock-In With CareIQ: How Location Verification Protects Providers

For NDIS providers delivering support in participants' homes and community settings, verifying that a worker was actually present at a shift is both a compliance obligation and a financial safeguard. The Compliance Problem GPS Solves

NDIS funding is tied to service delivery. When a provider invoices the NDIS for a support shift, they are asserting that the service was delivered. If a worker clocks in remotely, from home, or from a different address entirely, the provider may be billing for a service that was not delivered as claimed. The NDIS Commission actively audits claims, and fraudulent or inaccurate billing can result in de-registration, repayment demands, and referral to the NDIS Fraud Taskforce.

How CareIQ's Geofence Verification Works

When a support worker arrives at a participant's address, they open CareIQ on their mobile device and tap to clock in. The platform captures their GPS coordinates and compares them against the participant's registered address. If the worker is within a configurable radius (default 200 metres), the clock-in is confirmed without friction. If outside that radius, the system flags the clock-in for manager review rather than silently accepting it. Optional selfie capture at clock-in provides an additional layer of identity verification.

Clock-Out and the Break Compliance Link

When a worker clocks out after a shift of four hours or longer, CareIQ presents a break acknowledgment modal. The worker confirms whether they took a meal break, a tea break, both, or neither. This response is recorded against the shift and flows directly into timesheet calculation. If a meal break was not taken on a shift that required one under the SCHADS or Nurses Award, the missed break penalty is automatically calculated and added to the timesheet line. Operations managers can review break compliance across all shifts from the payroll dashboard.
